How to use it
Choose the message by commercial purpose
Start with the action you need from the recipient. A price request, clarification request, revision acknowledgement, and quote submission should not be compressed into the same generic email.
Replace every prompt with reviewed project facts
Confirm the current RFQ reference, document revision, quantity, units, delivery basis, requested date, and attachments. Remove prompts that do not apply rather than sending an obviously unfinished template.
Keep attachments and the email basis together
Save the sent message with the RFQ record and referenced files. If the scope changes, issue a new message that identifies the changed basis instead of silently editing the prior request.
Important review boundaries
- A template cannot determine contract terms or legal obligations.
- Do not promise lead times, prices, compliance, or inclusions that have not been reviewed.
- Check recipient, attachments, confidentiality requirements, and revision references before sending.
