What this resource is for
A polished total is not evidence that the quote basis is complete. Pre-issue review should trace the proposed price back to the current RFQ scope, estimate inputs, commercial decisions, and identified uncertainty.
This checklist gives the reviewer a repeatable path through scope, cost, margin, presentation, and approval without turning the review into a second estimate.

How to use it
Confirm the commercial basis
Identify the RFQ, drawings, addenda, quantities, and estimate revision supporting the quote. Stop if the customer-facing basis cannot be traced.
Review exceptions before totals
Check missing supplier prices, provisional allowances, unusual rates, manual overrides, duplicate quantities, and unresolved clarifications before focusing on the final price.
Approve the issued version
Record the reviewer, approval date, quote validity, included options, exclusions, and customer-facing revision. Preserve the approved output as the commercial snapshot.
Important review boundaries
- A checklist cannot validate engineering, tax, legal, or contract requirements.
- Margins must be reviewed using the company’s agreed calculation basis.
- A later scope change should create a controlled revision rather than overwrite the issued quote.
Questions about this resource
Is markup the same as margin?
No. Markup is commonly calculated against cost, while margin is commonly calculated against selling price. The workbook and checklist keep the selected basis visible so the reviewer does not confuse them.
Can one checklist cover quote options?
Yes. Review each option for scope, price, exclusions, and interaction with the base offer. Avoid options that silently duplicate or remove base-scope work.
